B dot Medical Inc. (hereinafter referred to as “BDM”) shall set forth the following privacy policy (hereinafter referred to as the “Policy”) with regard to dealing with personal information provided by users on this website.
Collection of Personal Information
The term “personal information” used in the Policy means information on a living individual as set forth in Article 2 of the Act on the Protection of Personal Information of Japan (hereinafter referred to as “Personal Information Protection Act”) and may be provided by users in the following cases.
- When users make inquiries to BDM
- When users apply for BDM’s job postings
Personal Information to be Provided
The information with which BDM is provided is as follows.
- Information on users, such as name, date of birth, sex, occupation, and personal history
- Contact information of users such as e-mail address, phone number, address, etc.
- Information entered and sent by users to BDM through the input form, etc.
Purpose of collecting and using personal information
The purpose for which BDM collects and uses personal information is as follows. Unless otherwise provided by law, BDM neither collects nor uses personal information for another purpose.
- To grasp the content of inquiries from users and to respond to them appropriately.
- To promote fair and smooth screening of users who have applied for BDM’s job postings.
- To confirm the identity of users for fulfilling one of the above purposes or responding to claims for disclosure of personal information from users.
Change of purpose of use
BDM may change the purpose of use of personal information only if the change can be reasonably recognized as being related to the purpose before the change. Any change in the purpose of use will be promptly announced to the public on this website.
Provision of Personal Information to a Third Party
BDM will not provide personal information to any third party without obtaining prior consent of users except as required by law.
Disclosure of Personal Information
Upon request for (i) disclosure of personal information provided by a user, (ii) notification of the purpose of use, (iii) disclosure of a record of a user’s personal information BDM provided with a third party with consent of the user, or (iv) disclosure of a record of a user’s personal information a third party provided with BDM, BDM shall confirm the identity of the user and disclose the information to the user or notify the user of it. At that time, a fee of ¥1000 per case will be charged.
BDM may not disclose all or part of the information requested by the user in cases where any of the following events happens as a result of the procedures of (i) ~ (iv). When BDM decides not to disclose such personal information, BDM will notify the user without delay. Information other than personal information will not be disclosed in principle.
- There is a risk of harm to the life, body, property, or other rights and interests of users or a third party.
- The proper fulfillment of the purpose of use is likely to be seriously hindered.
- The proper execution of BDM’s business is likely to be seriously hindered.
- Laws and regulations are to be violated or the requirements of laws and regulations is not to be satisfied.
Correction and Deletion, etc. of Personal Information
In the event the personal information provided to BDM is incorrect, the user may request BDM to correct, add, or delete it (hereinafter referred to as the “Correction, etc.”).
Upon request from the user, BDM will conduct necessary investigations within the scope of the purpose of use without delay and will correct such personal information based on the results of such investigations.
In the event BDM corrects or decides not to correct such personal information, BDM will notify the user without delay.
This does not apply to cases where special procedures are stipulated by laws and regulations.
Suspension of Use of Personal Information, etc.
BDM will conduct necessary investigations without delay when requested by a user to suspend the use of, delete, or provision to a third party of personal information (hereinafter referred to as “Suspension of Use”) due to reasons prescribed by Personal Information Protection Act . In the event a claim is found to be well-grounded based on the results of the investigations, BDM will conduct Suspension of Use without delay.
In the event that BDM conducts Suspension of Use pursuant to the provisions of the preceding clause or decides not to conduct Suspension of Use, BDM will notify the user without delay.
Notwithstanding the foregoing, in cases where BDM incurs a large amount of expenses for Suspension of Use or it is otherwise difficult for BDM to conduct Suspension of Use, and it is possible for BDM to take alternative measures which may be necessary to protect the rights and interests of users, BDM will take such alternative measures.
Safety Control Measures
In managing personal information provided by users, BDM complies with Personal Information Protection Act, related laws, regulations, guidelines, etc. and continuously implements human, physical, technical, and organizational safety control measures to prevent leakage, loss, damage, and unauthorized access to such information. The followings are examples of such measures.
- Human Safety Control Measures
BDM ensures confidentiality by signing confidentiality agreements with each of BDM’s employees, and BDM supervises the handling of personal information on a regular basis by minimizing the number of employees who handle personal information. - Physical Safety Control Measures
BDM restricts access to data concerning personal information provided by users, and BDM stores documents and other paper media recording such data in a location where they cannot be viewed by an unspecified number of people, and prohibits unnecessary removal of such data. - Technical Safety Control Measures
Access to personal information stored in in-house databases is restricted to a limited number of employees by using authorization settings, such as browsing authorities, etc. When an employee who has been granted said authorities leaves BDM, such authorities are immediately deactivated. - Organizational Safety Control Measures
BDM has established an internal organizational structure and internal rules that comply with Personal Information Protection Act, related laws, regulations, and guidelines, etc. and continuously reviews both the structure and rules to prevent inappropriate handling of personal information within BDM.
Google Analytics
BDM uses “Google Analytics” provided by Google LLC (hereinafter referred to as “Google”) to analyze, perceive, and improve the usage of this website. For analysis, a part of visitors’ information, including cookies, is collected by Google through this service, but all information is collected anonymously and no personally identifiable information is collected. Users can opt out of this collection by using “Google Analytics opt-out browser add-on” on their browser. This website may contain links and banners to websites managed or operated by third parties (hereinafter referred to as “third party sites”). Third party sites are not managed or operated by BDM and are managed and operated by the relevant third parties on their own account and under rules or policies regarding the management and handling of personal information which may be different from the Policy. Therefore, BDM is not liable or responsible for any troubles, losses or damages relating to, without limitation, the management and handling of personal information, incurred as a result of visiting third party sites.
Changes to the Policy
The contents of the Policy are subject to change without notice except as otherwise provided by law. Any revised Policy shall become effective upon its publication on this website.
